Terms and conditions
Last updated 13 October 2026
These terms apply to your use of the Covaro AI website and to the services we provide. Covaro AI (ABN 84 476 250 751) is referred to as "we", "us" and "our", and "you" means the person or business using our website or services. By using our website or engaging us, you agree to these terms.
1. Our services
We design, build and run AI systems for businesses, including:
- First Reply, which replies to and qualifies new enquiries;
- Reactivation & Quote Recovery, which starts text conversations with past customers and open quotes; and
- AI Receptionist, which answers calls you can't get to, books appointments and sends call summaries;
along with the setup, integration, monitoring, reporting and support that go with them.
2. Your service agreement
The exact services, fees and timeframes for your business are set out in your proposal and service agreement. If anything in your service agreement differs from these terms, your service agreement applies.
3. Fees and payment
- Our services are usually charged as a one off setup fee and an ongoing monthly fee, as quoted to you.
- Prices are in Australian dollars and exclude GST unless stated otherwise.
- Monthly fees are billed in advance through our payment provider.
- If a payment is overdue, we may pause your services until it is paid. We will let you know before we do.
- Third party usage costs, such as text messages above any included allowance, are charged as set out in your service agreement.
4. Term and ending the service
Unless your service agreement says otherwise, services run month to month and either of us can end them with 30 days' written notice. Setup fees cover work already done and are not refundable once the build has started, except where the Australian Consumer Law requires otherwise. When the service ends, we switch off your systems and return or delete your data on request.
5. Your responsibilities
To deliver the service, we rely on you to:
- give us accurate information and timely access to the software, phone numbers and accounts we need;
- make sure your software allows the connection we need, for example through an open API;
- only give us contact lists you are allowed to use, and hold the consent needed to message those people, including under the Spam Act 2003 (Cth) and the Do Not Call Register Act 2006 (Cth) where it applies;
- tell callers where calls are recorded, if the law requires it;
- review and approve the messages and scripts we prepare before they go live;
- follow any advertising or conduct rules that apply to your industry, such as rules for health practitioners; and
- respond to conversations we hand over to you in a reasonable time.
6. How AI is used
Our systems use AI to write messages, answer calls and summarise conversations. We test, monitor and tune them, and they are set up to hand conversations to your team when needed. AI can still make mistakes, misunderstand a request or give an incomplete answer. You are responsible for decisions made using the information our systems provide, such as pricing, bookings and advice to your customers.
7. Results
We work to get you strong results, and we share estimates and aims to help you decide, but we can't guarantee a particular number of leads, bookings, sales or revenue. Results depend on things outside our control, such as your offer, your list, your market and how quickly your team follows up. Figures shown on our website, including calculator results, are examples only.
8. Third party services
Our services rely on third party providers, including telecommunications carriers, AI providers and your own software. We choose reliable providers, but we are not responsible for their outages, changes or delivery failures, such as a text message a carrier doesn't deliver. Where a third party change affects your service, we will work with you to fix or replace it.
9. Intellectual property
Your business name, branding, content and customer data remain yours. You give us permission to use them only to deliver your services. Our methods, workflows, prompts, templates and software remain ours, including where we configure them for you.
10. Confidentiality and data
We keep your business information confidential and handle personal information as set out in our privacy policy. We never sell or share your data with other clients or for marketing.
11. Australian Consumer Law
Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy you have under the Australian Consumer Law that cannot lawfully be excluded. Where the law allows us to limit our liability for a failure to meet a consumer guarantee, our liability is limited, at our option, to supplying the services again or paying the cost of having them supplied again.
12. Limitation of liability
To the extent the law allows, we are not liable for indirect or consequential loss, including lost profits, lost revenue or lost data, and our total liability to you in connection with the services is limited to the fees you paid us in the three months before the claim arose.
13. Indemnity
You agree to indemnify us against claims arising from contact lists you supplied without the necessary consent, content you asked us to send, or your breach of these terms or the law.
14. Using our website
The information on our website is general and may change without notice. It is not legal, financial or professional advice. Links to other websites are provided for convenience, and we are not responsible for their content.
15. Changes to these terms
We may update these terms from time to time. The latest version will always be on this page. Changes do not affect a service agreement already in place unless we both agree in writing.
16. Governing law
These terms are governed by the laws of Victoria, Australia. Each party submits to the non-exclusive jurisdiction of the courts of Victoria and the courts that can hear appeals from them.
